Cancellation Policies

All cancellation requests must be submitted in writing, by email, to [email protected].

Cancellation refund schedule for 2024 International Protocol Education Forum:

  • Request received by 8 May: full refund minus 10% processing fee
  • Request received by 29 May: 75% refund 
  • Request received by 12 June: 50% refund 
  • After 12 June no refunds are available due to unrecoverable expenses incurred by the Association

After 12 June, the Association incurs non-refundable expenses based on the number of registrants.  As such, no refunds will be available to any registrant after 12 June.  The inability to travel to Canada or unexpected work priorities are, without limitation, insufficient grounds to request a full refund at any point within the schedule.

Early Membership Registration -- To receive the early registration rate, full payment must be received by end of business on 30 April 2024. If the early rate is not paid in full by that deadline, the registration will revert to the regular membership registration rate, and the balance will be billed to the member.

Full Payment -- All registration fees must be paid in full by 12 June 2024, or the registration will be canceled.  A refund, minus 50% of the registration rate, will be issued to canceled registrations.

Transfer of Registration -- At any time prior to three (3) days before the forum, registrations may be transferred to another individual.  The invoice for the new registration will be revised to reflect the new registrant's membership status.

Medical Cancellations or Death in the Immediate Family -- If a registrant must cancel due to medical restrictions or bereavement, the Association will consider a full refund on a case-by-case basis, including after the 12 June deadline.  To initiate such a request, a registrant should provide a doctor's note or the appropriate death notice (e.g., an obituary) to [email protected].  We ask for that information not out of insensitivity, but rather to ensure that we remain good stewards of Association events and funds.
